Team members
Invite colleagues into your workspace, what each role may do, and how invitations, seats and leaving work.
Team members come with Agency and Enterprise. On Agency, 5 people sign in to one workspace, you included, each with an account of their own. Nobody shares a login, and the trail of changes says who made each one.
Inviting a colleague
Under Settings, the card Team shows the Seats taken and who has them. Invite a colleague asks for Their e-mail address, a Role and Their language. Create invitation makes it.
- The invitation is mailed to that address, in the language you chose, and the link is shown to you as well, to send yourself if the mail does not arrive.
- It opens for that address only: your colleague signs in, or creates an account, with it. A link you send yourself lets nobody else in, even forwarded. The button in the mail can: whoever presses it can create the account for that address without a code, which is why the mail asks not to be forwarded.
- It can be accepted for 7 days. Send again makes a new link and another 7 days, in the language it was made in, and the old link stops working.
- An open invitation holds a seat. Remove takes it back and frees the seat at once.
- A workspace sends 10 invitations an hour and 30 a day at most. One address gets 2 invitation mails a day at most, from all workspaces together, counted with its variants: what follows a
+in the name, and at Gmail the dots, make no difference. - Every invitation mail ends with a link that stops invitation mails to that address, and its variants, for good. Somebody who used it can still join with a link you send them yourself.
Joining
Your colleague opens the link, signs in or creates an account with the invited address, and chooses Join, or Decline. Opened from the mail, Create an account asks no confirmation code: the mail has already shown that the address is theirs. An address that already has an account is sent to sign in instead, and when the account cannot be made at that moment, the sign-up asks for the code as usual.
Somebody with a place in more than one workspace switches between them above the dashboard's navigation, where the name of the one that is open is shown. The one they open last is remembered on that device.

There is one owner: the person who made the workspace, who pays for it. Connecting an assistant by signing in connects it to the workspace the person owns, so a colleague cannot yet connect one to a workspace they were invited into.
Removing someone, and leaving
Remove takes somebody's place away: they are refused from their next request, and the seat is free at once. What they set up stays. A colleague leaves with Leave this workspace, under Settings, Team.
If the workspace moves to a plan with fewer seats, the people in the seats beyond it cannot open it until it moves back up. They stay listed, marked Not covered by your plan, and can be removed.
An invitation that expired, was taken back or was declined, and a place somebody left or was removed from, is deleted 30 days later, with the address it carried. Data and privacy.
