Booking with Calendly

Let a visitor book a call or an appointment without leaving the conversation. What the agent does, what Calendly does, and what gets recorded.

With a Calendly link on the agent, a visitor who wants an appointment gets a booking card in the chat and picks a time right there. Your agent offers, Calendly books.

Connecting

Open Integrations (in the main menu for all agents, or on the agent itself) and paste the link of the Calendly page you want visitors to book on, for example:

  • One link per agent. Choose the event type you want, not only your profile, if visitors should land on one kind of meeting.
  • It has to be a page on calendly.com, starting with https://. Calendly pages on a domain of your own are not accepted.
  • Anything after a ? is dropped when you save.
  • Clearing the field disconnects it.

The badge beside the field says Connected once a valid link is saved. You need nothing else: no Calendly API key, no plan upgrade on our side.

What the visitor sees

  1. They say they want to book, plan or schedule something. The agent is instructed to offer your booking page when that happens.
  2. Under the agent's message a card appears, Book a time with us, with the button Pick a time.
  3. The button opens your Calendly page inside the chat. The visitor is not sent away from your site. It takes your primary colour along.
  4. When they have booked, the window closes and the conversation says: "Booked. Calendly has sent the confirmation to your email."

You can also put the link in the welcome message. A line containing it is shown with the same card, so booking is one click away from the start.

Only your link becomes a booking card. A different Calendly address that happens to be in one of your sources stays an ordinary link.

Who does what

The agentRecognises that someone wants an appointment and offers the card. It is told never to invent availability, times or confirmations.
CalendlyShows your free slots, asks the visitor's name and e-mail address, makes the booking, sends the confirmation and the reminders, and handles rescheduling and cancelling.
ChatterLabRecords that a booking was made.

We never see who booked, or when. Those details go from the visitor to Calendly and are in your Calendly account. That is on purpose: it keeps your visitors' personal details out of the chat records.

What is recorded

After a booking, the confirmation line is added to the conversation, so in Activity you can see which conversations led to an appointment. It is a plain message: no confidence, no sources, no credits. The booking is also written to the audit log.

One exception: a booking made from the welcome message, before the visitor has typed anything, leaves no trace with us, because there is no conversation yet. Calendly has it all the same.

Trying it out

Booking works in the Playground. Ask "Can I book a call?", and the card appears. A booking you complete there is a real one in your calendar, so cancel it afterwards.

If the card does not appear

  • Check that the badge says Connected.
  • The agent decides when to offer it. If it is too reluctant, say so in the instructions: "When someone asks about a demo, a quote or a meeting, offer the booking page."
  • The link only turns into a card if the agent passes it on unchanged. If your instructions contain a different Calendly address, remove it and leave the link to the Integrations page.
